Frequently Asked Questions
Earning Co-op Funds
Which of my purchases qualify for the new Co-op Program?
All purchases of all California Tan and Emerald Bay products qualify for the California Tan Co-op Program. In addition to retail products, equipment (AutoBronzer™, CustomBronzer™, MobileBronzer™) and in salon items (sunless solutions, barrier cream, sunless accessories, Cal Tan Lamps, and Cal Care products) earn Co-op Funds.
What's the minimum purchase?
There is no minimum purchase. Every invoice qualifies toward California Tan Co-op.
How do I submit my invoices?
Cal Tan Inc. has made arrangements with most authorized distributors to submit invoices electronically on behalf of their salon customers. Only a handful of distributors do not have this capability. To find out if your distributor is submitting electronically, contact Customer Support at (800) SUNCARE or call your distributor directly. Paper invoice submissions must be sent to California Tan with a completed 2007 Co-op Submission Form.
Where are my Co-op Funds? I purchased product two weeks ago, but I haven't seen my Co-op Funds posted yet.
Most authorized distributors electronically submit invoices to Cal Tan on behalf of salons. Please allow up to 8 weeks for your information to be posted. You may also want to contact your distributor directly to confirm that your information has been communicated to us. If you submitted a paper invoice, it may take up to 8 weeks for your co-op dollars to post.
You are always welcome to call us at 1-800-SUNCARE if you still have concerns about the accuracy of your Co-op Fund balance.
My distributor typically discounts my order, but this causes me to earn less Co-op Funds. Can I submit another invoice to the program that does not reflect my discount so I can earn extra Co-op Funds?
No. Distributors can only submit actual invoice data reflecting the price paid for the product. The creation and submission of fraudulent invoices is illegal. Cal Tan, Inc. will pursue legal action against any distributor and salon that knowingly or unknowingly participates in such actions. All invoices submitted to the Salon Co-op Program must reflect the actual price paid for items, including any discounts applied.
When is the deadline to submit qualifying invoices?
The 2007 Salon Co-op Program runs from July 1, 2006 to June 30, 2007. The deadline to submit invoices is August 15, 2007. If you are concerned, feel free to follow up with your distributor directly to ensure that all invoices have been submitted on your behalf.
What happens if I return Cal Tan, Inc. products to my distributor, but I have already accumulated Co-op Funds?
In the Salon Co-op Program, returns will be deducted at the Salon's earning percentage rate of the return dollar amount. For example, if you return $500 in Cal Tan, Inc. products, $50 will be removed from your co-op account ($500 x 10% = $50).
Redeeming Co-op Funds
How soon can I redeem my co-op dollars?
You can begin redeeming for select product and business building items on November 1, 2006 through September 30, 2007.
What if I don't have enough in Co-op Funds to redeem what I want?
You can use your available Co-op Funds and then pay for the balance with a credit card.
How long will it take to get the business building items I redeemed for?
Please allow two to three weeks for delivery.
Do I have to pay for shipping and handling?
No. The cost of shipping and handling will be covered by Cal Tan, Inc.
What if I want to redeem for items to be sent to multiple salon addresses?
In order to ship to multiple addresses, you must place separate orders. There is only one ship to address associated with each order.
Can I ship items to my home address rather than the salon address?
Yes, when you redeem online you will have the option to designate where you would like your items to be sent. The default shipping address will always be the salon shipping address because the Salon Co-op Program is intended to reward salons and their owners first and foremost. However, you will have the option to change this address prior to redeeming.
When do my Co-op Funds expire?
The 2007 Salon Co-op Program runs from July 1, 2006 to June 30, 2007. Co-op Funds earned during that period can only be redeemed between November 1, 2006 and September 30, 2007.
Miscellaneous
Why did Cal Tan get rid of Choice Rewards and Co-op Advertising?
Each season Cal Tan evaluates the effectiveness of all products and promotional strategies for the season. We found that Choice Rewards and Co-op Advertising were effective at providing salon owners with assistance in their advertising and promotional efforts but many salon owners felt they were complicated, confusing, and difficult to take advantage of. Our objective this season was to create winning partnerships with salons by offering one simple program that gives salons access to unique business building items as well as product to help salons increase their retail lotion sales.
Can I convert my Co-op Funds into cash?
No. Co-op Funds can only be used to redeem product or business building items through the new 2007 Co-op Program. The cash option available through the 2006 Choice Reward Program is no longer available.
Is the 2007 Co-op Program the same as Co-op Advertising from last season?
No. Salons accrue Co-op Funds based on their purchases but those funds can only be redeemed for product or business building items. Salons will not be required to show proof of advertising to participate in the program.
How secure is my Salon Co-op Program information online?
The Salon Co-op Program is password-protected. When you first register for the program, you are assigned a private password for your salon. You will need to remember the password and use it every time you want to access your salon information. This password will keep your Co-op Fund account balance private and secure.
I have a chain of salons and am wondering if I can combine Co-op Funds across multiple locations. Is this possible?
Co-op Funds are traced according to the "ship to" address on the distributor invoices submitted. Therefore, if a salon chain has product shipped to multiple locations, Co-op Funds are traced separately for each location. If a salon chain would like to combine Co-op Funds from multiple locations so that the funds can be redeemed together, the salon owner must submit a request in writing on the salon's letterhead to Cal Tan, Inc. The request can be mailed to Cal Tan, Inc. Customer Service, 12777 W. Jefferson Blvd., Los Angeles, CA 90066 U.S.A. or faxed to (310) 824-9619. A representative from Cal Tan, Inc. will then contact the salon and provide a Request Form to be completed by the salon owner.
How can salons monitor their Co-op Fund balance?
Salons can check their Co-op Fund balance at any time by visiting www.caltanrewards.com.
What can salons redeem for?
Salons can redeem for select product, including over-runs and Classic Reserve product, and business building items. Salons simply shop in the online catalog and select any combination of products and business building items they want. The list of items available is always being updated, so check back regularly.
Are there bonus perks for Cal Tan Salon Partners?
Perks for Salon Partners include faster fund accrual and exclusive redemption items, including limited edition indoor tanning products, limited edition promotions, special travel and gift-with-purchase size products and advanced salon trainings.
I saw an item I wanted to redeem for and now it is not listed. What happened?
Items listed on the co-op site are only available while supplies last or for a limited period of time. The list of items is always changing as new items are added and others are taken off. Check back regularly to see what is available. California Tan makes no promises of what items will be available in the future.
